The evolving role of AI in construction project management
“Good fortune happens,” said Thomas Edison, “when opportunity meets planning”. Project management has always required the latter – the ability to establish clear goals and lay down the path to achieve them. Less obvious, but just as important, is the ability to recognise and seize opportunities.
AI now stands as one of the greatest opportunities in the professional world; the question now is not whether project managers should respond to it, but how to do so effectively and responsibly.
How AI adoption doubled in project management
The revolution has already started, and the use of AI within project management has already skyrocketed. The use of AI across the discipline has nearly doubled between 2023 and 2025, leaping from 36% to 70% globally. An additional 29% are now planning to adopt it, leaving just 1% with no plans to incorporate AI into their work.
Within the construction sector, the difference is even more stark. In 2023 a mere 15% of construction project organisations were using AI. By 2025, that number skyrocketed to 75%.
Yet this isn’t just reflective of cynically chasing a trend. Instead it is the expression of a wholesale change of outlook. In 2023, only 15% of those in project management roles thought that AI advancements would be ‘very positive’; now that number is 62%. The expansion of AI within the sector is being accompanied by a growing sense of optimism in the capabilities it can offer.
Where AI excels in efficiencies
This new optimism is founded in AI’s growing demonstrated capability. APM’s survey outlined the uses that project managers have found for it:
50% of project management professionals using AI have seen benefits in their task and schedule automation. When implemented, these tools can analyse historical project data and can quickly generate optimised schedules. Machine learning models can also predict task durations, which can support manual scheduling.
50% have seen a benefit to their resource allocation. AI can produce a predictive analysis to forecast which resources a project will need, and match team members skills with appropriate project tasks.
49% have gained AI assistance with their reporting and dashboarding. AI models can take in CSV or Excel datasets and generate comprehensive dashboards, including features like timeline heatmaps and burndown charts. Natural Language Processing (NLP) can be used to swiftly turn email threads, minutes from meetings, and chat logs into status updates for executives.
50% believe that AI has assisted their risk analysis and forecasting. Neural networks and machine learning algorithms have the capacity to examine previous project timelines and budget data. They can then forecast any shortage in resources, scope creep, or potential schedule delays.
43% stakeholder communications believe that AI has benefitted their communications with stakeholders. AI can rephrase messages to suit different audiences. It can even be used to simulate meetings before they take place. This process might highlight objections a stakeholder might raise, allowing them to be addressed ahead of time.
The case for using AI responsibly
Project managers have also outlined their concerns about the implementation of AI technology.
49% of project management professionals said that technical knowledge and training had presented a difficulty in AI uptake. Applications can be limited by a lack of specific knowledge of AI’s strengths and drawbacks. More general AI tools, for example, may be poorly adapted to specific organisational or industry constraints without careful configuration.
44% said that security and data privacy were difficulties of which to be aware. The mechanism behind deep learning can be obscure, which can make it difficult for project managers to explain AI-driven results to regulators or stakeholders. Inputting client data into a public AI runs the risk of violating Non-Disclosure Agreements (NDAs), bringing the risk of a project being terminated.
41% believe that the risk of inaccuracy is an issue. AI can sometimes present "hallucinations" – plausible results which are nevertheless incorrect. Results which have been generated by AI should be verified by team members with relevant expertise.
Why construction project management consultants are irreplaceable
While the usefulness of AI is difficult to deny, it should still be seen a software tool for professionals to use at their discretion, rather than something which can fulfil their roles of its own accord. Areas in which AI can work effectively alongside team members’ experience include:
Strategic decision making
AI can bring data to the surface – 43% of APM respondents noted its assistance here. Yet it is people who must contextualise this information in the real world; sense-checking the information, bearing in mind regulatory changes and considering sentiment in the local community.
Stakeholder empathy
49% say AI frees up time from their administrative tasks. This saved time can be used for other purposes – it may allow consultants to do more of the personal side of the job, spending longer on-site, managing stakeholder relationships and building trust with clients.
Ethics and safety
As Professor Adam Boddison, the Chief Executive of APM, puts it, the adoption of AI “isn’t about replacing project managers, but about enabling them – freeing up time, enhancing analysis, and improving decision-making...The future of the profession will not be defined by AI alone, but by how people use it to create real value.”
